How to claim

  1. Check the expenses policy so you know what you can claim.
  2. Save your receipts and tickets as PDFs.
  3. Fill in the form below.
    • The form creates and downloads PHF's Claim Form in Excel with the details you submit and the required file name.
    • You do not need Excel.
  4. Email in one email the Claim Form and your receipts to ideas@phf.org.uk.
    • The button at the end of the form starts the email for you.

Caring costs

Please email ideas@phf.org.uk in advance for approval before the Connect event.

Good to know

  • Reimbursement requests start being processed after Tuesday 27 October 2026. We pay by bank transfer and confirm by email.
  • Please send your claim by Tuesday 8 December 2026. We may not be able to process claims after that.
  • Claims in another currency: enter what it cost you in pounds and say so in the description.
  • Mileage: PHF pays the HMRC rate, currently £0.55 per mile. Put the journey and distance in the description.
  • Nothing you type here is stored by this site. The form only fills the spreadsheet you download.
